Who these terms are with

These terms are an agreement between you and EDFAST AS ("we", "us"), covering the MinuteMind application, our mobile apps, and the website at minutemind.co. By creating an account or using the service you accept them. If you do not accept them, do not use the service.

EDFAST AS operates and distributes MinuteMind and is your counterparty under these terms. The MinuteMind software and brand are provided under licence; the rights in them are held separately and are not affected by your agreement with us.

How we handle your personal data is described separately in our Privacy Policy, which forms part of these terms.

Your account

  • You must be at least 16, or the minimum age of digital consent where you live if that is higher.
  • Give accurate account details and keep them current.
  • You are responsible for activity under your account and for keeping your credentials secure. Tell us promptly at hello@minutemind.co if you suspect unauthorised access.
  • If you use MinuteMind on behalf of an organisation, you confirm you are authorised to accept these terms for it.

Your content stays yours

You keep all rights to the recordings, transcripts, notes, tasks and documents you create or upload ("your content"). We claim no ownership of it.

You grant us a limited licence to host, store, process and transmit your content solely to operate the service for you — for example transcribing audio, generating summaries, and backing up your account. That licence exists only to run the product and ends when you delete the content or your account.

We do not use your content to train AI models, and the third-party AI providers we use do not train on API content. You are responsible for having the right to upload what you upload.

Recording other people

Recording laws differ by country, and in many places every participant must consent before a conversation is recorded. You are responsible for obtaining whatever consent the law where you and the other participants are located requires, and for telling participants that a meeting is being recorded and transcribed. We provide the tool; we cannot give you the legal basis for using it.

Acceptable use

You agree not to:

  • Break the law, or infringe anyone's privacy, confidentiality or intellectual property rights
  • Upload malware, or attempt to breach, probe or disrupt the service or its infrastructure
  • Reverse engineer the service, or resell or redistribute it without our written permission
  • Use automated means to extract data at a scale that degrades the service for others
  • Share your account credentials, or use one account to serve multiple people where a plan is priced per user

We may suspend or terminate an account that seriously or repeatedly breaches these rules. Where it is reasonable to do so, we will warn you first and give you a chance to put it right.

Subscriptions, billing and cancellation

  • Paid plans renew automatically for the billing period you selected until you cancel.
  • Payments are handled by Stripe. Prices are shown at checkout and include applicable taxes where we are required to charge them.
  • You can cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period, and you keep access until then.
  • We may change prices, and will give at least 30 days' notice before a change affects your renewal. If you do not accept a new price, cancel before it takes effect.
  • Subscriptions bought through the Apple App Store or Google Play are billed and cancelled through that store, under its rules, not here.

Consumer right of withdrawal. If you are a consumer in the EEA or UK, you normally have 14 days to withdraw from a distance contract. By starting to use the service within that period you ask us to begin immediately and acknowledge you lose the right of withdrawal once the service has been fully performed. Nothing here limits statutory consumer rights you cannot waive.

Deleting your account

You can delete your account and its content at any time — from Settings → Delete account, or by emailing us. There is a 30-day grace period during which you can reverse it, after which deletion is permanent. The full process, and exactly what is removed, is on our account deletion page. Deleting your account does not by itself refund an unused part of a billing period.

AI output, and what the service does not promise

MinuteMind uses automated transcription and AI to produce transcripts, summaries, action items and drafts. These can be wrong, incomplete, or misleading. They are a starting point, not a record of fact, and not professional advice of any kind. Check anything that matters against the source before relying on it.

The service is provided "as is". We do not warrant that it will be uninterrupted or error-free, that transcription will be accurate, or that it will meet a particular requirement of yours.

Availability and changes

We may change, add or remove features as the product develops, and we may need to take the service down for maintenance. Where a change materially reduces what you have paid for, we will give reasonable notice. We do not currently offer a contractual uptime guarantee.

Liability

To the extent the law allows, our total liability to you for any claim connected with the service is limited to the amount you paid us in the 12 months before the claim arose. We are not liable for indirect or consequential loss, lost profits, or lost data beyond what our backup obligations cover.

Nothing in these terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded — including the statutory rights of consumers.

Changes to these terms

We may update these terms as the service changes. We will update the date at the top, and for material changes we will notify account holders by email or in the app before they take effect. Continuing to use MinuteMind after that means you accept the updated terms.

Governing law

These terms are governed by the laws of Norway, and disputes fall to its courts. If you are a consumer, this does not deprive you of the protection of mandatory rules of the country you live in, and you may bring proceedings there.
